During my time at Fenwick Software, I have worked with several third party NAV add-ons like Payroll and enwis). Recently, I implemented Asset Maintenance, an add-on for Dynamics NAV, for a waste recycling client. The Asset Maintenance add-on provides a framework within NAV to maintain assets that need to be serviced based on a schedule, or require ad-hoc work. It provides an integrated solution that ties in with the General Ledger, Purchasing, Sales, Inventory and Fixed Assets.

Maintenance Assets are created to record details related to vehicles and machinery. The module provides the ability to group these assets and record individual details. Furthermore, documents related to assets can be linked directly into NAV along with asset’s geographical location. One or more procedures are then linked to the asset. Procedures can be defined as manual, recurring (based on usage or period) or fixed (based on usage or dates). This provides the flexibility to setup several procedures based on what services need to be carried out on an asset.

Asset Maintenance is a powerful and useful add-on for Microsoft Dynamics NAV.

There is also an ability to enter budgets or expected costs. The budget lines define Items, Spare Parts, Resources or Subcontractors that are normally used for the related procedure. Pre-defining the Budget Lines allows for easy recording of services when carried out on an asset. The Asset Maintenance module also provides the ability to set work instructions against assets and procedures, which can be used by workshop staff.

Work orders are created within the system to record any work carried out on the asset. These work orders can be generated based on system’s suggestions for scheduled services or manually raised for ad-hoc work. The items used during the service are recorded through an issue journal that integrates with inventory and requisition. The time spent by staff is recorded using a time sheet journal which is linked to the resources module. Similarly, vendor invoices can be raised that link back to accounts payable if subcontractors are used within work orders. The Asset module also has the functionality to set work orders as billable. This allows for raising sales invoices to customers and is integrated with accounts receivable. Asset usage such as kilometres and hours can also be recorded using usage journals.

I was amazed by the system integration and the functionality this add-on provides to streamline and automate asset maintenance. Having done my first implementation of the add-on, I look forward to carrying out many more roll outs in the future.
